Terms & Conditions of Travel Services
Last updated August 202601Who we are
Atlantic Travel & Tours ("Atlantic", "we") is a travel agency with offices in Renton, Washington and in Kabul, Afghanistan. We act as an agent for airlines, hotels, insurers and ground operators. We do not operate flights or hotels ourselves, and the conditions of carriage or accommodation of the supplier you are booked with apply alongside these terms.
02Quotations and prices
Every price we give is a quotation against the fare of the day. A quotation is not a reservation and is not held until it is ticketed. Airline fares, taxes, fuel surcharges and exchange rates can change without notice, and a quotation may be reissued at a new price if the fare is no longer available when you approve it. The price is fixed once payment is received and the ticket is issued.
03Bookings and passenger details
Names, dates of birth and document numbers must be given to us exactly as they appear on the passport that will be used for travel. Airlines treat a name correction as a reissue: it is subject to the fare rules and may carry an airline penalty plus our service fee. Please check every detail on the confirmation we send you and tell us about an error the same day.
04Payment
Tickets are issued after payment is received in full, unless an instalment or invoice arrangement has been agreed with you in writing. We accept card, bank transfer and payment in person at either office. Card payments may be subject to the processing charge shown to you before you confirm. Unpaid bookings may be cancelled automatically by the airline at any time.
05Travel documents
Tickets, hotel vouchers and insurance certificates are issued electronically and sent to the email address you give us. It is your responsibility to read them, carry them while travelling, and check that names, dates, routings and baggage allowances are what you expect.
06Passports, visas and health requirements
You are responsible for holding a valid passport, the correct visas, and any health documents required by the countries you travel to or transit. We will advise you to the best of our knowledge and can prepare and submit visa applications as a paid service, but visas are granted by governments and no agency can guarantee an outcome or a processing time. A visa refusal does not create a right to a refund of an airline ticket beyond what the fare rules allow.
07Schedule changes and airline decisions
Airlines change schedules, aircraft, routings and cabin allocation. Where an airline notifies us, we will pass the change to you promptly and rebook you within the airline rules at no agency charge. Compensation for delay, downgrade, denied boarding or lost baggage is a matter between you and the airline, and we will help you claim it.
08Changes requested by you
Changes to dates, routings, names or passenger numbers are subject to the rules of the fare you bought, to any airline penalty and fare difference, and to our service fee per ticket. We will always quote the full cost of a change before we make it.
09Hotels, transfers and tours
Hotel, transfer, conference hall and tour bookings are governed by the supplier terms and cancellation deadlines that we give you at the time of booking. Some rates are non-refundable from the moment they are confirmed.
10Travel insurance
We strongly recommend travel insurance for every trip, including medical travel, and we can arrange it. Insurance is a contract between you and the insurer, and cover depends on the policy you choose and on the answers you give when it is issued.
11Our responsibility
We are responsible for arranging your booking with reasonable care and skill, and for passing your instructions to suppliers accurately. We are not responsible for the acts or omissions of airlines, hotels, insurers, transport operators or governments, nor for loss caused by events outside our reasonable control. Where we are found liable, our liability is limited to the value of the agency service fees you paid us for the booking concerned, except where the law does not permit that limit.
12Events outside our control
Neither party is in breach of these terms because of war, civil unrest, border or airspace closure, strike, epidemic, natural event, airline insolvency or government decision. In those cases we will do what we can to rebook or to recover funds from suppliers, but we cannot guarantee a refund the supplier does not release.
13Complaints
Please raise a problem with the desk that issued your booking while you are still travelling if possible, and in writing within 30 days of your return. We aim to acknowledge a written complaint within 3 working days and to answer it in full within 20 working days.
14Your information
We collect the personal and passport details needed to make your booking and share them only with the airlines, hotels, insurers and authorities involved in that booking. We keep records for the period required for accounting and airline audit purposes, and we do not sell client data.
15Governing law
Bookings issued by our United States office are governed by the laws of the State of Washington. Bookings issued by our Kabul office are governed by the laws of Afghanistan. Nothing in these terms removes a right you have under a law that applies to you.
Founded in Kabul in 2011, on the ground in Renton today. Air tickets, hotels, Hajj, cover, holidays, Marhaba assistance and corporate travel, handled by the people who answer the phone.
