Corporate Account Terms & Privacy
Corporate Account Terms & Privacy
Last updated October 202601Who these terms are for
These terms apply to a company or organisation that opens a corporate account with Atlantic Travel & Tours ("Atlantic", "we"), and to the people it adds to that account. They sit beside our Terms & Conditions, our Refund & Cancellation Policy and our Privacy Policy, which also apply. Where these terms say something different about a company account, these terms apply.
02Opening the account
The person who signs up gives us the company's name, address and telephone number, its size and yearly travel budget, and their own name and work email. A work email on the company's own domain is required; personal mailboxes are not accepted. Our corporate desk checks every application and contacts the applicant before it is approved. When it is approved, the applicant is emailed a link to activate the account and becomes its first company admin. By ticking the box on the sign-up form, the applicant confirms they are allowed to agree to these terms for the company.
03Company admins and employees
Company admins add and remove employees, choose whether employee trips need approval, see every booking and bill of the company, and look after the company's details. Employees sign in with their company email and see the company's details and their own requests, bookings and bills only. A person can belong to one company at a time. Company admins are responsible for keeping the list of employees up to date, for example removing someone who leaves.
04Requesting and approving trips
Employees request trips from the company portal, and admins can request a trip on an employee's behalf. If the company has turned trip approval on, an employee's request waits for an admin to approve it before it is ticketed. A trip requested by an admin is approved by being requested. Prices are given by our desk for each request, in US dollars.
05Monthly billing
A company does not pay booking by booking. When a trip is booked, our desk checks the bill, attaches the issued ticket and bills the booking to the company. The traveller pays nothing: they are emailed the ticket and a business receipt, and the company admins are told. At the end of each month we issue one invoice for every booking billed to the company that month and not yet invoiced, sent to the company admins by email and kept in the company portal. Each invoice is due 30 days from the date it is issued. When we receive the payment, we record it and the invoice becomes the company's paid statement. Changes, cancellations and refunds follow the airline's fare rules and our Refund & Cancellation Policy, and are shown on the next invoice.
06Late payment and account standing
If an invoice is past due, we may put the account on hold. On hold, company admins can still sign in to see and pay the company's bills, but no new trips can be booked, and employees cannot sign in. We may deactivate an account in a dispute, for unpaid bills, or if these terms are broken; deactivated accounts cannot sign in and are asked to contact us. Every change of standing is made by an Atlantic administrator with a reason, and the company admins are emailed. An account on hold or deactivated can be made active again once the reason is resolved.
07Questions about a bill
If something on an invoice looks wrong, please tell us within 30 days of the invoice date: call the desk on +1 206 962 9882, email info-USA@atlantictravels.com. We look into every question and correct the next invoice where we made a mistake.
08Closing the account
A company admin can ask us to close the company account from the company portal, telling us why, when, what to do about trips already booked, and where to send the final invoice. Only an Atlantic administrator closes the account, after any booked trips and the final invoice are settled. Closing the account does not erase the company's bookings, bills and invoices: we keep them as our record of work done and money owed, and they stay available to us.
09What we collect
About the company: its name, email domain, address, telephone number, size, travel budget and logo. About its people: names, work email addresses and telephone numbers, and their sign-in details, with passwords stored only in a scrambled form nobody at Atlantic can read. For each trip: the traveller details the airline or hotel needs, such as names exactly as in the passport, dates of birth and nationality, and the booking, ticket and billing records.
10Who sees it
Atlantic staff who handle the company's requests and bills. Company admins see the company's bookings and bills, and on the Employees page how many trips each employee has with Atlantic. Employees see their own records only. We share traveller details only with the airlines, hotels and other providers you are booked with and the authorities that require them, and we rely on GoDaddy (hosting), Cloudflare (protection and delivery), Google Workspace (our email) and Brevo (the website's emails) to run the service. We do not sell company or employee data, and we never will.
11How long we keep it
Company and employee account details are kept while the account is open. Bookings, tickets, bills, invoices and payments are kept for the period required for accounting, tax and airline audit purposes, including after the account is closed.
12Keeping it safe
Every page is sent over an encrypted connection. Each person signs in with their own account; company accounts never reach Atlantic's staff system. Tickets are stored encrypted and are released only when the booking is billed. When someone calls us about the account, our desk checks the account PIN and sends a one-time code to the registered email before discussing it.
13Changes to these terms
If we change these terms, we will update this page and the date at the top of it, and keep every earlier version. A change to how billing works will be emailed to the company admins before it applies.
